Please fill out the forms below as soon as possible so that we can maximize your experience at Web Summit.

Please note you will be required to enter a partner ID,  a eight-digit, case-sensitive code that is unique to its partner. It allows for the efficient tracking of all communications throughout the onboarding process. The Partner ID will be given to you by your partnership success manager.

  • Onboarding survey – we want to make sure that you achieve your objectives at Web Summit. Your partner success manager will send you a unique survey link to complete to help us gain a better understanding of these.
  • Partner comms form – so that we can feature your company’s profile on the Web Summit website and mobile app.
  • Partner connectivity form – to help us get a better understanding of your network and connectivity needs at Web Summit.

  • Submit your proposed stand design for approval. 
  • Deadline for submitting an electrical plan, connectivity and rigging plan and requesting a rigging quote.

  • Eventree application deadline.
  • Deadline for uploading all stand build documents, including method statement, risk assessment, insurance details, and fire certificates.

  • Deadline for confirming all shipments with Merkur, the official Web Summit international forwarder.

  • Each project above 50lbs will always have to be evaluated individually.
  • Please provide a detailed drawing of the suspension.
  • Rigging will be carried out by in house rigging team.
  • As a general guideline, there is a 2500lbs point on 30ft centre grid.
  • A pre-rig structure may have to be provided to create the necessary suspension points required for hanging your structure. This will be identified in the quotation to hang. 
  • The charge for each project will be calculated based on submitted and approved plans.

To make sure our procedure is safe and accurate there is some information we require:

Services

All booth construction must be completed by midnight on Sunday, November 3. This includes all carpentry, sanding and painting works. Additional time for rehearsals and booth dressing will be allowed on Monday, November 4 from 8am to 3pm. For more information on build, load-in and load-out schedule, click here. 

For partners who purchased a post-build cleaning package, this will take place during the hours of 3pm Monday to 6am Tuesday. All rehearsals and booth dressings must be completed on the stand at this time. If the stand is not ready at 3pm Monday the cleaning will become void and cannot be refunded

Please note that to gain access to the venue during build/load-in, all attendees must wear high-viz jackets and hard hats. 

Access to your booth is possible from 7.00am on the opening morning – Tuesday, November 5. Please note you will need your Partner ticket to get access at 7.00am. The conference floor will open for General Attendees from 8.30am on Tuesday, November 5.

Shipping and storage

Each project will always have to be evaluated individually. All clamps, points, motors, certs and pre-rig truss is provided by the venue rigging company.

The charge for each project will be calculated based on submitted and approved plans. To make sure our procedure is safe and accurate, there is some information we require:

  • Description of item to be suspended;
  • Constructive system (if it is box truss, light steel frame, aluminium frame, standard banner);
  • Suspension solution (how will the object be suspended, is it with spandex, shackles);
  • Total weight, number of suspension points and distribution of weight per point;
  • Height of suspension;
  • Drawings that show the exact location, orientation of booth and element to suspend.

As a general guideline, there is a 70kg/150kg limit per available suspension point and the structural matrix is 3X3 meters but is not uniform.

By default, we will try to adjust the suspended elements to the available matrix for economic purposes. However if it is not possible to arrange a solution or if the client does not want to, we will use pre-rig structures to provide the necessary suspension points.

Registration and show schedule

You must submit a detailed electrical plan for your stand. This is required to make proper arrangements for your electrical requirements.

  • The electrics you require for your stand must be ordered using the Web Summit partner store. 
  • You must indicate where on your stand you want the power you have ordered to be located.
  • The electrics plan should show all electrical elements of your stand (main power supply, power sockets, audiovisual, cabling etc). 
  • You can choose to combine the electrical plan with a lighting plan or make separate electrics and lighting plans.
  • Make sure to read the instructions on the template.
