Getting to the venue
Tickets and visa confirmation letter

Web Summit tickets are personal and they are valid for the duration of the event. There are no day tickets available for Web Summit. 

If you do not know who you are assigning your tickets to, you can assign your ticket to yourself for now and return to it at a later date. Please note that the deadline for assigning tickets is Friday, October 25.

You must present your QR code and a photo ID at registration to receive your accreditation.

Acceptable photo ID:

  • Passport
  • DNICitizen Card (Cartão do Cidadão or CC)

To assign your Web Summit tickets

  • Follow the link that your partnership success manager has sent you.
  • Fill the name and email of each ticket holder.
  • Each ticket holder will then be sent an individual email requesting they fill in their details.

Reassigning a ticket

It is possible to reassign (change the names on) your tickets if someone can no longer attend. The deadline for this is Friday, October 25.

Please ensure that you allocate all your tickets as soon as possible. Early allocation of tickets will allow you to create your Web Summit attendee profile and start networking with other attendees.

Please note that any staff working at your booth (not involved in build, load-in or load-out) should be allocated one of your Partner tickets.

The ticket is in your app

To gain access to the event, you will need to download the Web Summit app from the Google Play Store or the App Store (if you do not use a smartphone you can approach ticket support at registration where our staff will assist you). To access the app, please enter your email and your booking reference code. Your QR code can be found within the app in the “Profile section”.

Visa confirmation letter

Although we do not engage directly with any embassy, you can request a confirmation letter by signing into your attendee profile on my.websummit.com.

Once signed in, click on your profile picture in the top right corner. You’ll see a drop-down menu with an option to ‘Request confirmation letter’. You will be prompted to fill in your information, which our system will verify after you click submit.

Please note the exhibition floor opens on Tuesday, November 5. Monday, November 4 is pre-registration and Opening night only. 

Partner access during build

All representatives of the partner who require access during the build/load-in phase should use their partner ticket and should notify their partner success manager if such access is required.

During the build/load-in phase, partner accreditation can be collected by partners at contractor registration at the times and dates specified by your partner success manager.

Please note that to gain access to the venue during build/load-in, all attendees must wear high-viz jackets and hard hats. 

Network capabilities and requirements

Available Networks

Venue wi-fi

An official event wi-fi network is provided for your internet connectivity needs, available to all attendees and throughout the entirety of the venue(s) except where stated otherwise.

Please review the following terms to ensure support for your devices:

  • Our wi-fi operates on the 5 GHz band
    • meant for lightweight usage (email, browsing, instant messages)
    • over peak times you may see delays due to network congestion
  • Older devices are supported on the 2.4 GHz band
    • a separate Wi-Fi network is available for this purpose
    • as this is an unregulated band, this network is subject to interference
  • Security constraints:
    • hotspots or rogue networks of any kind are completely prohibited and against our T&Cs
    • devices connected to our networks cannot reach each other, only the internet

Internet-enabled network cables

Your site activation will include an ethernet network cable with internet connectivity.

Additional ethernet points can be purchased individually (up to 4) or in the form of a network switch (see below).

Please review the following terms to ensure support for your devices:

  • Bandwidth
    • shared with other wired points – over peak times you may see delays due to network congestion
    • by default, this cable will be allocated a maximum speed of 7Mbps
    • dedicated bandwidth can be purchased at our online store
  • Device support
    • you will be presented with a CAT5e cable with an RJ45 connector
    • if you require mobile devices, connect them to our event Wi-Fi or bring an RJ45 network adapter to use your ethernet cable
  • Security considerations
    • use of any and all network hardware such as routers, switches, access points, and MiFi devices are strictly forbidden and will be terminated
    • if you require such a device, you can purchase one of the available options or contact your partner success manager
    • hotspots or rogue networks of any kind are completely prohibited and against our T&Cs
    • devices connected to our networks cannot reach each other, only the internet

Extra wired devices and dedicated bandwidth, via a network switch

This option provides you with a private VLAN and a network switch with seven available cable connections, replacing your default ethernet cable.

Please note: You’ll need to provide cables for any connection between the switch and your devices.

Additionally, the connection is granted dedicated bandwidth (10 Mbps).

Which package is best for me?

All partner stands will have access to the venue wifi and have a single ethernet cable.

  • Venue wifi

Allows for light activities such as browsing the internet, sending and receiving emails etc. Please be aware that during peak times there may be issues with congestion.

  • Internet-enabled network cable, default bandwidth

This package allows you to engage in heavier internet use, such as streaming video with a greater degree of reliability.

Directly connected to our network infrastructure, the use of our wired ethernet points is recommended for any heavier network usage. Please note that maximum speed is 7 Mbps by default.

A note on Wi-Fi networks

In short, operating any Wi-Fi network at our event without explicit permission is strictly forbidden and against our T&Cs.

We actively monitor for use of unauthorised devices and will terminate them if found.  Some examples of unauthorised devices are Wi-Fi routers, personal hotspots via your mobile phone or a MiFi device, etc.

Radio space (the air!) in the venue will be shared by everyone and rogue networks directly interfere with that goal, disrupting everyone’s experience.

We carefully plan and design our networks to support the best experience we can provide for everyone.

Complex requirements

Web Summit currently offers packages to cater for a variety of circumstances and demonstrations. With knowledge of your requirements, we can better tailor a package to your needs and give you the best experience possible.

Shipping

If you are planning on shipping directly to the venue, please contact your partner success manager to arrange an introduction with our shipping partner, Merkur Expo Logistics as soon as possible. 

Please take into consideration the high volume of inbound emails received by our logistics partner at peak times. We strongly recommend contacting them at your earliest opportunity and allow sufficient time for shipments and storage requirements to be coordinated and processed. 

All partner shipments should be confirmed and paid for with Merkur by Friday, October 11. Please note the deadlines for last shipment by sea freight is Wednesday, October 16 and air and road freight – Wednesday, October 23.  The advanced warehouse is open from Wednesday, October 23 until Friday, October 31. For cargo arriving after these dates, an additional 25% handling surcharge for receiving the goods will be added. 

Merkur, the official Web Summit international forwarder, provides a full range of services from advanced storage, storage of empties, accessible onsite storage and forklift services. Read the full shipping guidelines here.

Storage

Merkur, Web Summit’s official international forwarder, will be handling all orders for onsite storage services directly with the partner.

If you require storage of merchandise, empty cases or containers during the event, please let your partner success manager know and they will facilitate an introduction with Merkur. Final deadline for onsite storage orders is Monday, October 28. 

Lead scanning at Web Summit

How does it work? 

The Web Summit app provides participants with a lead scanning function. Once an attendee’s QR code is scanned a request will appear in the attendee’s app to approve the scan. Only if this is accepted, will the attendee’s information appear in the “My Scans” section. 

At the end of the event, if accepted, all scanned attendee information can be exported via email. Alternatively, partners can rent a device/license from our lead retrieval supplier Zuant. The main differences can be found below.

Comparing Zuant and the Web Summit app

*The features above are for the basic Zuant package. Zuant can provide more information on a higher spec package. 

The following information is collected through a scan: 

  • First name
  • Last name
  • Email
  • Job title
  • Company name
  • Country (not captured in our app scans, only Zuant)
  • Phone number (only captured with Zuant if info is available)

Attendee perks

Attendee perks are benefits we offer to selected partners to generate leads pre- and post-event.

Selected partners create an exclusive offer (through a discount code) of their product or service which we will push out to all Web Summit attendees before, during and after the event.

Web Summit’s social media community spans four channels; Twitter, Facebook, Instagram and LinkedIn, with a total community size of 1.4 million and a 5.1% average engagement rate per post (overall industry average 0.6%, source Rival IQ 2018). We tailor our content to each of our channels’ audiences, reaching just over 6 million people per month.

How to maximise the media opportunity at Web Summit. Some tips from the Web Summit media team.

Over 2,600 media will be in Lisbon to cover Web Summit 2019. These include editors and reporters from major international publications and the leading national outlets across Europe, Asia, and the US. Publications like the New York Times, The Wall Street Journal, CNBC, Bloomberg, CNN, Forbes, The Times, Der Spiegel, Quartz, Business Insider, and many others will all have a presence at the conference.

Web Summit provides you with the platform to communicate directly with these media outlets. You have all the names in the room — you just need to have the news to pique their interest.

Press releases

If you are announcing news at Web Summit, please provide us with a press release. The deadline for this is Friday, October 18. This will be hosted on websummit.com/media which all media visit during the event to hear the latest news announced during Web Summit. Hosting a press release on our media portal creates a unique URL that can be shared with your wider network and can be used to post on your company’s social channels.

Media village

There is a dedicated media village at the event. The media village is equipped with private interview booths, a press conference area, a working space for media, and a media lounge area. Access to the media village is only available to partner’s who have media accreditation.

Filming and photography guidelines

To help partners make the most of their activation at Web Summit, we welcome filming on site. To ensure everything runs smoothly, here are the guidelines on what is and is not permitted for partners filming at Web Summit. These are based both on security considerations and ensuring that filming is as unobtrusive as possible.

If you are planning to film at the event, we require you to provide us with an itinerary in advance of when and where you’ll be filming. You will need written prior consent from us to film at the event.

Permitted

Partners are permitted to film in the following areas, where applicable to the partner’s activation:

  • Exhibition stands
  • Sponsored lounge
  • Partner workshops
  • Partner meeting room
  • Sponsored drinks (excluding speakers dinner and drinks)

It is also permitted to film/photograph here:

  • The show floor
  • Outdoor and open areas within the event between the FIL and MEO (excluding registration and point of entry)

When filming your activation, ensure the filming is discreet. A fixed camera should be used where possible. Our team advises that you use an image release form, where applicable.

Camera crew tickets must come from the partner ticket allocation and should be kept to one cameraman and one assistant.

Restricted

Partners are not permitted to film/photograph in the following areas:

  • Sensitive areas of operation, including registration and point of entry
  • Private lounges, including Forum and the media village
  • Speaker dinner and drinks
  • Stages (see below for more details on photography)

Filming/photography of stage content

All stages (excluding PITCH and Q&A) will be filmed by Web Summit. It is not permitted for anybody to film stage content.

Sustainable options

At Web Summit we are proud to announce our commitment to the United Nations Sustainable Development Goals. We are working to increase visibility and awareness among our partners at our events.

We are asking our partners to help us in reducing single-use plastic onsite at Web Summit and as such we have taken a zero-tolerance stance for any single-use plastic on site. Please see below for some merchandise ideas to help.

There is no car parking facilities available to partners at the venue. However, there are over 10,000 spaces around the exhibition complex in various car parks located in Parque das Nações. Names and location of car parks are outlined below.
